The challenge
A growing startup was drowning in its own documentation. Processes were scattered across Notion pages, Google Docs, Slack threads, and the founder’s head. Every new hire had to piece together the company’s knowledge from scratch — wasting weeks of onboarding and slowing down the entire team.
The real challenge wasn’t technical. It was organizational. The startup needed more than a “template” — they needed an entire knowledge infrastructure that could scale as they recruited, without ever losing context, structure, or speed of access.
They came to us with a clear mission: design a system that could absorb their existing documentation, structure it logically, and turn it into an onboarding engine for every future team member.
Our approach
We started with a full discovery phase — not a template download. We interviewed the founders, mapped their existing processes, identified the gaps, and wrote a detailed specifications document (cahier des charges) before opening Notion.
The system we built is organized around three pillars:
- Capture — A unified inbox where every piece of information enters the system, whether it’s a note, an article, a video, or a media highlight. Nothing gets lost.
- Organize — A structured tagging and categorization system, plus dedicated notebooks for projects, research, and internal documentation. Everything has a home.
- Synthesize — Progressive summarization workflows inspired by the second-brain methodology. Information moves from raw capture to actionable knowledge through a multi-level refinement process.
The system also includes a full Readwise integration for Kindle highlights, Twitter saves, and article clips — so all external learning flows into one place.
Beyond the technical build, we delivered a training program: written documentation, video walkthroughs, and live onboarding sessions with the founding team. The goal wasn’t to hand over a template — it was to make the team autonomous within a week.
